Archive pages¶

Archive lets you retire content without deleting it. Archive pages when content is outdated or no longer useful, but you still want to preserve context, history, and links.
Archiving is different from deleting — archived pages are still accessible.
Archive is currently in beta and subject to the terms of your agreement. Archive is only available for users on Business and Enterprise plans.
What happens when a page is archived¶
When you archive a page:
-
You will see a yellow Archived banner at the top of the page.
-
If you archive a parent page, all sub pages are archived automatically.
-
Pages will have an archive icon 🗄️ after their name.
-
If you archive a page in a database, the content will be filtered out of the view.
-
Archived pages can be viewed by going to the database’s
Settings→View archived pages. -
By default, Archived pages are hidden from
Search. -
To search for archived content, open
Search, click on+ Filter→Content status→ choose your preference.
Anyone with permission to edit a page can archive or unarchive it.
How to archive pages¶
Open the page you want to archive:

In the top-right corner of the page, click
•••. -
Select
Archive. -
A yellow banner will appear at the top of the page. It will show your name and the date it was archived.
To unarchive a page, open the page, in banner at the top of the page click Unarchive.
When to archive vs. deleting¶

Archive content when:

The content is no longer relevant but the information it contains may need to be referenced in the future

Delete content when:

The page is truly disposable (test pages, duplicates, etc.)

You want it removed from the workspace entirely

Will archiving a page break links across the workspace?
No, existing links to archived pages will continue to work.
Can people still access archived content?
Yes. Archived pages can be accessed in Search, Library, and in database settings.
- To search for archived content, open Search, click on + Filter → Content status → choose your preference.
Is there a central place I can see all archived content?
If your workspace is on the Enterprise plan, admins of the workspace can view archived content in Content search → View archive content. Otherwise archived content can be found in Search, Library, and in database’s settings.

Add a code block¶
On any Notion page, you can create a code block to display code so that it's broken out from the rest of your content and formatted by language.

Click the
+that appears to the left when you hover over a new line. ChooseCodeand pressenter. Alternatively, type/codeand pressenter. -
With your new code block in place, click inside it to type or paste your code.
Syntax highlighting¶
We support syntax highlighting for a number of programming languages. To change the display language of your code:

Click the name of the language at the top left of the code block.

Type in the name of your programming language to search, then press
enterto select.
Wrap your code¶
To eliminate side scrolling and create a line break at the edge of your code block:

Hover over the code block and click
•••at the top right or⋮⋮on the left. You can also right click on the block itself. -
Switch on the
Wrap codeoption.
Copy or add a caption to code blocks¶
Hover over your code block to reveal the Copy and Caption buttons at the top right.

Click
Copy, and your code is ready to paste into your editor or wherever you want to share it. -
Select
Captionand enter whatever you want to say about the code! -
Click the
•••menu for even more options.
Note: This button is invisible to users who have "Can view" permission levels on the page.

Columns¶
Sometimes, it makes sense to put pieces of information next to each other. In these situations, you can format your text into columns (or create side-by-side sections with headings) using drag and drop:

Click and drag the text you want to put in another column. (The
⋮⋮symbol in the left margin is your handle for drag and drop.) -
Follow the blue guides that appear.

Drop it where you want it. You just created a new column!
-
You can create as many columns as you want across the width of a page.
Note: Columns are available on tablet but not mobile. On your phone, you'll see the content in any right-hand column simply placed under the content in the left column.
Remove columns¶
To remove columns, simply do the reverse of the action you took to create them.

Click the
⋮⋮icon and hold to drag the content in your right-hand column back under or above the content in the left-hand column. When you see the blue guide span the width of the page, drop it and the columns should disappear. -
Sometimes, it's possible to have an empty column. In this case, click the
⋮⋮icon and selectDelete. This also removes the column format.
Tip: You can resize columns by hovering over the edges they share with other content and dragging the gray vertical guides that appear left or right.
Simple tables¶
Need to structure content in a visual matrix? Create a simple table! You can do this by:
- Clicking the
+in the left margin that appears when you hover over a new line, and select the
Table option.
- Alternatively, use the command
/table.
You can make the following adjustments to your table:

To add a row, hover over the bottom of the table and click
+. -
To add a column, hover over the right side of the table and click
+. -
Drag the bottom right corner of the table to add or remove rows and columns at the same time!

Drag the side of a column to make it wider or narrower.
-
Hover over the first cell of a row or column and select the six-dot icon to create a header row or header column. This will visually distinguish your header with a shaded background.

Click into a cell and select the three-dot icon on its right side to change the text and background color or clear the cell’s contents.

Hover over the table and select
⋮⋮→Fit to page widthto snap your table to page or column width.
Note: At this time, you can’t paste in multiple simple table cells at once.
Merge and unmerge cells¶
You can merge cells in a simple table to create spanning headers and visually grouped sections.
To merge cells:

Select a rectangular group of cells.

Open the cell menu and click
Merge cells.
The top-left (anchor) cell keeps all content. Other selected cells are cleared.
To unmerge cells:

Select a merged cell.
-
Open the cell menu and click
Unmerge cells.
The anchor cell keeps its text. All covered cells are restored as empty individual cells.
Convert a simple table to a database¶
While a simple table lets you quickly visualize information, you can convert it to a database any time you need database functionality such as filters, sorts, or specific property value types. Learn more about databases here →

•••menu hovering at the top of the simple table. ClickTurn into database.

Headings¶
You can add more structure to your pages with three levels of headings. There are many ways to add a heading to your page:

Hover over a new line and click the
+that appears in the left margin. Then, select the size heading you want. -
Type
/followed byh1,h2, orh3and thenenter. -
Use Markdown and type
#for H1,##for H2, or###for H3, then pressspace. -
Type whatever you want. Then, press
cmd/ctrl+/and choose a heading size to convert the text!
Headings can also be toggles so that you can open and close them. To turn a heading or regular text into a toggle heading:

Hover over the heading or text and select the
⋮⋮that appears in the left margin. -
Select
Turn into. -
Select
Toggle heading 1,Toggle heading 2, orToggle heading 3.
All of the content within those headings will now be collapsible or expandable so that you can keep your page clean. At this time, you’ll need to open and close toggles manually — there’s no way to open and close them all at once, or make them open or closed by default.
Table of contents¶
If you're working on a long document with lots of headings, you may want to add a table of contents to help your readers and collaborators easily skim the page’s content and easily jump to any section. The table of contents block is a single unit that must be moved, deleted, duplicated, and styled as a unit. To edit the text it contains, edit the actual headings on your page.
In a table of contents, you’ll see a list of all the headings used in your page. H2s and H3s will be indented to reflect your page’s structure. Click on any of the headings in your table of contents to go to that heading in the page.
A table of contents can appear in a page in two ways:

At the top of your page, as a block.

At the right side of your page as you scroll through it, as a page-level setting.
Table of contents block¶
There are a few ways to add a table of contents block in Notion:

Hover over a new block on your page and select
+. In the menu that appears, find and selectTable of contents. -
Enter
/in a page and start typingtable of contents. SelectTable of contentsin the menu that appears.
Note: Indented headings will not be included in a table of contents.
Table of contents page-level setting¶
You’ll see a table of contents in the right side of your Notion page by default if your page has two or more headings. This table of contents will follow you as you scroll through the page so you can access it at any time. Hover over the table of contents to expand it and see all of the headings in your page.
If you don’t want to see a page-level table of contents:

In the page you want to remove the table of contents from, select
•••→Customize page. -
Toggle off
Table of contents.
Dividers¶
Breaking up content on a page can help you separate distinct sections and ideas. Dividers are a good way to distinguish these sections and add some stylistic flair to your page.

Click the
+in the left margin that appears when you hover over a new line and select theDividerblock from the menu. -
Type
/followed bydivand thenenter. -
Type
---(three hyphens in a row) and a divider will automatically pop up. -
You can drag and drop these dividers just like any other block on your page.
FAQs¶
Why can't I see columns on my phone or tablet?
Unfortunately, our mobile apps don't support multiple columns yet, but it's definitely on our to-do list!
Will my table of contents show titles of in-line tables on my page?
No. Even if you give your table a name in your document, this won't be reflected in the table of contents. You can, however, add a heading above the database that will appear.
If I turn individual headings a color, will that show in my table of contents?
Your table of contents will always be all one color 🖌You can change this color, and it will will apply to the whole thing. To do this:

Click the
⋮⋮icon that appears when you hover over your table of contents. Or select it and hitcmd/ctrl+/. Or right click. -
Choose
Colorfrom the menu that pops up and select which color or highlight you want.
Can I edit the text inside my table of contents?
Not directly! In order to change the text it displays, edit the individual heading blocks in your page.

Inline in a paragraph¶
There are a few ways to link another Notion page inside a paragraph:

As a block¶
You can insert a link into a Notion page as a block so you can easily place it wherever you want in the page. To do this:

In a page, enter the slash command
/link. Alternatively, you can click the+that appears on hover to the left of any block, and selectLink to pagefrom the dropdown. -
Start entering the name of the page you want to link. Find and select it in the menu that appears.

To move the block, click
⋮⋮to the left of it and drag it to your desired location in the page.
Note: When you add a Link to page block, the linked page will show up in your sidebar under the page where you inserted the link, just like any other sub-page.
Link to a block¶
Every block in Notion has its own anchor link that can be copied and shared. These are great for directing someone's attention to a specific part of a long Notion page! To link to a specific block:

Hover over the block and click the
⋮⋮that appears to the left. -
Select
Copy link to block. This will copy the URL of that specific block to your clipboard. -
Paste this URL anywhere — in a Notion page, a Slack message, an email, and more.
Link to a web page¶
When you paste a web page’s URL into Notion, it can create a compact, easy-to-read link mention to help your page look nice and clean. You can even hover over the link to see a quick preview. To use a link mention in your page:

Paste the URL.

In the menu that appears, select
Paste as mention. -
The web page will be displayed with an icon, the source, and the title of the page.
Note:

Link mentions work best with public web pages. Any links that require certain permissions or authentication to view won’t be pasted into Notion with any rich information.

If your browser has cookies blocked, link mentions may not render properly.

Backlinks¶
Backlinks show you all the pages that link to the page you’re currently on. You can use these to navigate your workspace.
Backlinks are created automatically every time you @-mention a page. To see a page’s backlinks, select {#} backlinks under its title, or its properties if it’s a database page.
You will only be able to see backlinks for pages you have access to. Other people won’t see backlinks to your private pages. Backlinks to pages that are only visible to you will be labeled as Private.
Customize backlinks¶
In any page, you can choose whether you want to show or hide backlinks.
To customize backlinks and comments for a non-database page:

Click the
•••button at the top right of the page and selectCustomize page. -
Open the dropdown next to
Backlinksand choose whether you want toAlways showbacklinks,Show on hoveronly, or turn themOff. -

How do I automatically open Notion links in the desktop app?
If you want any links to Notion pages to open in your desktop app:

Open Notion in your web browser.

Go to
Settings→Preferences. -
Toggle on
Open links in desktop app.
You'll need to have the desktop app already installed. You’ll also need to go to Notion in your desktop app and ensure that Open Notion links in browser is turned off in your settings.
What's the difference between @-mentioning a page, and adding a Link to page block?
Link to page works kind of like creating a sub-page. When you reference a Notion page this way, it will show up in your sidebar as a subpage of the page where it was linked.
@-mentioning a page creates something more like a hyperlink. Pages you @-mention won’t show up as subpages of the pages they’ve been mentioned in.

Text styling¶
Notion is equipped with all the text styling features you've come to expect from any word processor — with a few more added in. Highlight any text to see this menu:
Of course, all the usual shortcuts apply, like cmd/ctrl + B for bold and cmd/ctrl + shift + S for strikethrough. But we've thrown in a couple others:

cmd/ctrl+Eto display code inline. -
cmd/ctrl+shift+Mto add a comment to any text. -
Oh, and you can always use
@to mention a page or a person in your workspace.
Markdown¶
Notion supports all Markdown styling on desktop, web and mobile. Here's a quick rundown of shortcuts:
While typing:

Font and size¶

Choose from three different typography styles for every page you produce — selected to match most writing moods! Just click
•••at the upper right of your page and pickDefault,Serif, orMono. All the text on your page will change accordingly. -
This same menu includes the
Small texttoggle. When you turn it on, the text on your page shrinks. Helpful if you want to fit more on a page or if you like the way it looks.
Colors¶
Spice up your text by turning it a color or giving it a color highlight. There are many colors to choose from and several ways to apply them:

Give in-line text a color or highlight from the same menu you'd use to bold, italicize or comment — just highlight any text and choose a color from the
Adropdown: -
You can also turn an entire block of text the same color. The easiest way to do this is to type that handy
/followed by the name of the color you want to write in, like /red. -
You can also change the color of a text block by typing
cmd/ctrl+/at any point and then the name of the color you want followed byenter.
Tip: Using the same color over and over? Apply the last color you used with the shortcut cmd/ctrl + shift + H.
Page width¶
You can shrink the margins on any page and widen your content area by going to ••• at the top right of your Notion window and toggling on Full width.
Customize backlinks and comments¶
The top of any page in Notion can include two things: backlinks and comments.

Backlinks indicate all the pages that link to the current page so you can easily navigate between them.
-
Comments capture conversation between you and your teammates. You can use them to tag each other, ask questions, provide feedback and more.
To customize backlinks and comments for a non-database page:
-
Click the
•••button at the top right of the page and selectCustomize page. -
In the window that opens, toggle on or off
Show backlinks. -
Toggle on or off
Page discussions.
To customize backlinks and comments for a database page:
-
Click
•••at the top right of the page and selectCustomize layout. -
Click on the
Headingmodule and toggle on or offShow backlinks. -
Click on the settings button next to your database’s name at the top of the page. Decide if you’d like inline comments on your page to be displayed as they are by
Default(with the comment visible alongside the commenter’s profile photo), or displayed in aMinimalway (with only the number of comments showing, which you can click to expand). -
You can also decide if you’d like your page discussions, or comments that are added at the page level, to be
Expanded(with all comments showing) orOff(not showing). -
When you're done adjusting these settings, select
Apply to all pagesat the top of the page. Note that your backlink and comment customizations will apply to every page in the database you're in.

Callouts¶
Callout blocks are useful for highlighting specific text or breaking it out from the rest of a document. Perhaps you want to draw attention to a warning or a tip.
Add a callout¶
You can add a callout to a page in a few ways:

Hover over a new block and select
+to the left of the block →Callout. -
Type
/calloutin your page and pressenter.
You can move your callout block around your page by hovering over it and using the ⋮⋮ that appears as a handle to drag and drop it. Callouts can even be placed in a column.
Style your callout¶
-
Your callout block can contain other block types like bullets and headings. You can drag these blocks around to rearrange them within your callout.

Note that if you use headings in your callout, those headings will appear in your page's table of contents.

Every callout block comes with an icon. To change the icon, click on it and choose a new one. To remove the icon, click on it and select
Remove. -
You can also upload your own icon image (ideal size is 280 x 280 pixels), or paste a link to the image you want.

Click
🔀to generate random icon options until you find one you like! -
Change the color of the callout block itself (or the text inside the block) by clicking the
⋮⋮icon that appears to the left on hover. -
Select
Colorand choose from the background color menu to change the entire block's color. ChoosingDefaultturns the block white with a light gray outline. -
Selecting a non-black color for the text turns the block white with a light gray outline.

You can also change text and background colors with the shortcut
cmd/ctrl+/and typing the name of the color you want.
Page icons and emojis¶
Every page can have its own icon — either an emoji or an image you upload yourself (like your logo). It'll appear at the top left of your page and in the sidebar next to it. This helps make pages memorable and easy to find.
To add or change a page icon:

Hover over the top of any page and click
Add iconor click your existing icon. -
Select
🔀to cycle through randomly chosen emojis until you find one you like. Alternatively, select an emoji from theEmojitab, an icon from theIcontab, or your own image or image URL using theUploadtab. Uploaded icons should ideally be 280 x 280 pixels. -
When you upload a file to turn into a page icon, you’ll also have the option to turn it into a custom emoji in your workspace’s emoji library. Just check the box next to
Add to workspace Emoji librarywhile you’re uploading your file. You can then use your custom emoji as a page icon, a reaction, or inline in a page.
To remove a page's icon, just click on it and choose Remove.
You can also use emojis inline throughout your page! Type : followed by the name of the emoji you want to use, like :fire for 🔥 or :clapping for 👏. You can also upload and use a custom emoji. To do this:

Open the emoji menu by typing
/emojiinto your page. -
Select
+at the bottom. -
Upload an image, give it a name, and select
Save. Anyone in your workspace will be able to use your custom emoji as a page icon, a reaction, or inline in a page.
Note: Custom emojis won’t render in mobile widgets.
Cover art¶
Cover art appears as a banner image at the top of any page, bringing some elegance, color, and style (even to databases).

Hover over the top of any page and click
Add cover. -
Hover over the cover that appears and choose
Change cover. -
A menu will pop up with a gallery of choices curated by Notion.

Click
Uploadto add your own image from your computer, or clickLinkto paste in the URL of an image from the web. -
You can also search for and choose an image from Unsplash, a library of 1,000,000+ beautiful, usable stock photos.
FAQs¶
Can I make Full width my default? Is there a way to set a default style for all pages?
Not yet, but a lot of users have asked for this! We're continuing to keep this in mind for future projects.
Can I justify text to be center aligned or right aligned?
Notion doesn't have any traditional alignment options at the moment, unfortunately 😕But you can still make this happen. Drag and drop an empty line into the column next to your text to align it to the right or left.
Why can't I change text size on mobile?
This styling option, along with page width, only exists on desktop and web.
What's the ideal size and aspect ratio for cover images?
The cover images are dynamic depending on the width of your window, so there's no specific size that works best. That said, we recommend using images at least 1,500 pixels wide.
How can I insert an emoji in-line with my text 🤔?
Anywhere in your text, type : followed by the name of the emoji you want to use, like :fire for 🔥 or :clappingfor 👏
You can also use your system emoji picker to include emojis in-line on a Notion page, or anywhere else on your computer!
Mac: ctrl + cmd + space
Windows 10: windows key + . or windows key + ;

Delete blocks¶
Click ⋮⋮¶
The ⋮⋮ icon which we call the block handle, appears in the left margin when you hover over any line or content in Notion. Click it to see the Delete option.
Click •••¶
When you hover over content like images, embeds, sub-pages, and web bookmarks, the ••• icon appears in the top right corner of the block to let you Delete.
On mobile, you'll see this symbol in the corner of many content blocks. Tapping it will open a menu that includes Delete. For text on mobile, tap on ••• all the way to the right in the toolbar that appears above your keyboard. You'll see the same set of options.
Right click¶
You can right click on any content in Notion (or use the gesture that corresponds to right click on your trackpad) to bring up a menu that includes Delete.
Keyboard shortcut¶
To delete, select any content block or text and hit the delete key.
Delete pages¶
There are many ways to delete pages in Notion:

Hover over the page in your left sidebar, select
•••(or right click) and selectDeletefrom the menu. -
Select
•••at the very top right of a page and selectDeletefrom the dropdown menu. -
If you're deleting a sub-page from an existing page, hover over it and click on the
⋮⋮icon (or right click) to see the option toDelete. -
Drag any page or content block into the
Trashat the bottom of your left sidebar. -
You can always select any page block and press the
backspaceordeletekeys.
What happens when a page is deleted¶
By default, pages will remain in Trash for 30 days before they are permanently deleted from Trash.
Once pages are permanently deleted from Trash, they are retained for 30 days before they become inaccessible to all users, even workspace owners.
Enterprise Plan workspace owners may customize these settings. Learn more here →
Find pages in Trash¶
Once you delete a page, it will end up in Trash. You'll see Trash at the bottom of your sidebar on both desktop and mobile. Once you open Trash, you can:

Search for a specific page.
-
Filter by the following:
-
Last edited by: The last person to edit the page. -
In: The page that the deleted content used to live in. -
Teamspace: The teamspace that the deleted content used to belong to. -
Open a deleted page to see its contents. From there, you can restore the page or permanently delete it from the trash. Note that you won’t be able to edit a page that’s in the trash unless you restore it.
On both iOS and Android, Trash is located in the ••• menu in the top left of the sidebar.
Archive pages¶

Archive is only available for users on Business and Enterprise plans.
Archiving a page allows you to mark pages as no longer current without deleting them.
How to archive pages and databases:¶

Open the page you want to archive.

In the top-right corner of the page, click
•••. -
Select
Archive.
After archiving a page, you will see a yellow banner at the top of the page. It will show your name and the date it was archived.
To unarchive a page, go to the banner at the top of the page and click Unarchive.
What happens when a page is archived¶
Archiving is different from deleting — archived pages are still accessible. When you archive a page:

You will see an Archived banner at the top of the page.
-
It is hidden from search by default.
-
You can still include archived pages in search by filtering by
Content status→All pages (including archived). -
Links to the page still work.
-
If you archive a parent page, all Archive pages below are archived automatically.
-
If you archive content in databases, the content will be filtered out of the view going forward. Archived pages can be viewed by going to the database’s
Settings→View archived pages.

Version history¶
Note: A new version of a particular page will be recorded every 10 minutes as you actively edit it. Two minutes after you’ve made your last edit on a page, we will record another version.
If you're on an Enterprise Plan, you can view the history of all changes made to a page, including who made those changes and when.
If you're not on the Enterprise Plan, a more limited history of changes made to a page is available. You can view and restore past versions of any Notion page going back:

7 days if you're on a Free Plan.
-
30 days if you're on a Plus Plan.
-
90 days if you're on a Business Plan.
-
Any number of days if you're on an Enterprise Plan.

See a page's version history¶
To access version history for a page, you will need at least Can edit access.

Click
•••at the top of the page and chooseVersion history. -
From the window that opens, you can:
-
See all past versions of the current page.
-
Click on any past version to see what the page looked like at that point in time.
You can also see this information by clicking 🕘 at the top of any Notion page. You'll see a dropdown menu of all revisions and comments made on the current page by yourself and others. Click the 🕓 next to any revision to jump to that version in a new window.
When you open version history, you can select a version and see the highlights of what changed. This makes it easier to review edits without manually comparing two versions side by side. You’ll see changes like:

Text edits (what was added, removed, or changed).
-
Blocks that were added or deleted.
-
Some non-text changes (like images, to-dos, callouts, and colors).
-
Some simple table and database changes.
-
Version history shows the main highlights, but it won’t capture every single change.
-
Detailed version comparison isn’t available on mobile.
Restore past versions of a page¶

To recover only specific content blocks from a previous version, click on a certain version of a page, copy those blocks, and paste them into your current page.
-
You can also restore a past version of a page so it becomes your current one. Open the desired version and click
Restore. -
Even if you or someone on your team restores a past version, you can always go back to the page as it was during any point in the past 30 days. Just open
Version historyagain, choose the version you want to return to, and restore it. -
If you’re restoring a database, all of its pages and their properties will be restored. However, any contents of the database pages, like text inside of the pages, won’t be restored. To restore database page contents, you’ll have to restore an earlier version of every individual page.

If you’re restoring a page with an inline database (in other words, a database inside of a page), you can choose to restore or not restore the database’s pages and properties.
Note: Restoring a database may affect existing database views, as well as how other people see the database.
Version history on mobile¶
Version history works a bit differently on mobile that it does on the web or desktop. To access page history:

Click the
•••icon at the top of your page. -
Tap
Version history. You'll see a full list of versions organized by time. -
Tap any version to view it. You can copy and paste any content you want from it into your current version, or tap
Restoreat the top of the screen to make that version current.
Delete properties from a database¶
There are many ways to delete properties from a database in Notion.

Click on the Settings menu in the corner of the database you want to edit.

Select
Edit Properties. -
Click on the property you want to delete.
-
Select
Delete property.
What happens when a property is deleted¶
Deleted properties can be viewed, restored, or permanently deleted from the Settings menu. To view deleted properties in a database:

Click on the Settings menu in the corner of the database you want to edit.

Select
Edit Properties. -
Scroll down to
Deleted Properties.
To restore a property, click the arrow. To permanently delete a property, click the trash can. Deleting a property from Deleted Properties is permanent and cannot be restored.
FAQs¶
I tried duplicating some blocks, but got a Please try again later error.
This error means that you've hit our duplication rate limit — right now you can only duplicate 20,000 blocks per hour. Our apologies for the incovenience!
If you wait a bit, you'll be able to duplicate the content then 👍
What if I accidentally deleted something permanently? Any way to get it back?

We keep backups of our database, which allows us to restore a snapshot of your content in the past 30 days if you need it.
How can I empty my trash?
There isn’t a way to empty your trash all at once. You can go in and delete individual pages from the trash — otherwise, pages in the trash will be automatically and permanently deleted after 30 days.

Duplicate a page¶
Let's say you come across a Notion page you love on the web and want to make it your own.

Log into Notion on your browser.
-
Navigate to the public page and click
Duplicatein its upper right corner. -
Choose the workspace you'd like to duplicate the page into from the dropdown.
-
Your browser will take you to that page, now duplicated into the
Privatesection of your sidebar. It will include all the sub-pages contained in the original page. -
You can edit this page and its sub-pages just like you would any other.
Note: After you’ve duplicated a page to your workspace, you might see some blocks that say No access. These blocks are most likely not intended to be duplicated, and you can delete them from your workspace.
Prevent duplication¶
If you have a public page that you don't want duplicated, you can turn that option off.

Shareat the top of your published Notion page →Publish→Site customization. -
Select
Header. -
Toggle off

Media block types¶
Images¶
Notion makes it easy to add, resize, and arrange images in any configuration or format (JPG, PNG, GIF, etc.). You can drag and drop an image into a Notion page, or you can upload an image as a block in your page. To do this:

Click the
+that appears in your left margin when you hover over a new line. ChooseImageand pressenter. Or, type/imageand pressenter. -
Click to upload an image from your computer, embed an image from elsewhere using its URL, or add a stock photo from Unsplash.

If the URL of an image
Images can also be hyperlinked, so that people can click on them to navigate to the URL of your choice. To add a hyperlink to an image:

Hover over the image and select
•••or⋮⋮→Add link. -
Paste a link or select a Notion page as the destination. If you choose a Notion page, a backlink won’t be created.
You can also add images to databases, and display them as a gallery. To do this:
-
In a database, add the
Files & mediaproperty. Clicking that field gives you the option to upload an image from your computer or embed an image from elsewhere. -
Drag an image file into a card on a database board, or into a
Files & mediaproperty cell in a table, or into a gallery. -
Of course, you can also add an image to the body of any page inside a database using
/imageor drag-and-drop.
Files¶

Keep your files in Notion to easily store and share them. At any place on your page, create a file block that will prompt you to Upload a file from your computer or use an Embed link to embed a file on your page like a PDF. To do this:

Click the
+that appears to the left when you hover over a new line. ChooseFileand pressenter. Or, type/fileand pressenter. -
A menu will pop up giving you the
UploadorEmbed linkoptions. Select the file you want and clickOpen. -
You can also drag files into a Notion page from your desktop or a folder on your computer. Notion will upload and safely store it for future access and download.
You can also add files to database pages. To do this:

Add the
Files & mediaproperty to your database. -
Click on the
Files & mediaproperty for a specific database page. You'll be prompted to upload your own file or embed a file from elsewhere. -
You can also drag and drop files into cells under this property in a table. Or you can drag them into cards on a board or in a gallery. They'll appear in the
Filesfield of the corresponding pages.
Videos¶
To upload your own video files to play in our custom player:

Click the
+that appears to the left when you hover over a new line. ChooseVideoand pressenter. You can also type/videoand pressenter. -
In the menu that appears, select
Embed link, then paste the video's share URL from the streaming service and clickEmbed video. -
As an alternative method, simply paste a video's URL from a streaming service. In the menu that appears, choose
Create embed.
You can also upload your own video files to play in our custom player.

Audio¶
To add audio from other streaming platforms:

Embed link, and paste the URL for the track or playlist from your streaming service. -
Or, simply paste the track or playlist's URL from the streaming service. In the menu that appears, choose
Create embed.
To upload an audio file directly from your computer:

+that appears to the left when you hover over a new line. ChooseAudioand pressenter. You can also type/audioand pressenter. -
In the menu that appears, select
Upload, and choose your audio file. -
You can also drag your audio file into a Notion page from your desktop or a folder on your computer. Notion will automatically convert it to our custom audio player.

Web bookmarks¶
There are a few ways to add a web bookmark to a page:

Click the
+displayed to the left when you hover over a new line. ChooseWeb Bookmarkand pressenter. -
Type
/web bookmarkor just/bookmarkand pressenter. -
In the mobile app, paste a URL and select
Create bookmark.
Each method asks you to enter the URL. Press enter and your bookmark will pop up.
Media block options¶
Arrange and resize¶
To arrange a media block, use drag and drop to move the block around your Notion page. You can drag them into columns as well.
To resize a media block, hover over the block and you'll see two black guides appear on the left and right edges. Click either one and drag it to make your video bigger or smaller.
Crop¶
To crop a media block:

Hover over an image and select
•••→Crop image. -
Once you’re finished, select
Save.
Mask¶
You can give your media block a different shape by masking it. To do this:

Hover over an image and select
•••→Crop image. -
Select the shapes icon in the top left corner and choose your masking dimensions.

Once you’re finished, select
Save.
Align¶
To adjust your media block’s alignment in a page:

Hover over any image, file or media block and click the alignment icon. This appears as a square with lines above and below.

Choose to align left, center, or right.
Caption¶
To give your media block a caption:

Hover over any image, file or media block and click the caption icon. This appears as a square with lines underneath, representing captions below media.

You'll see gray text appear below your image, file or media. You can edit and style this like any other text on your page.
Alt text¶
To provide alternative text for your media block:

Hover over an image and select
•••→Alt text. -
Add alt text describing your image and hit
enterwhen you’re done. -
You can hover over
ALTin the corner of an image to see its alt text.
Make sure your alt text is short and descriptive. You can also provide specific details based on the context of the page that your image is embedded in. For example, if you’re including an image in a page about teaching, you could say “Teacher talks to student in the classroom” instead of “Two people talk in a room”.
Download¶
To download media from a page on desktop or web, hover over any image, file, or media and click the download icon at the top right. This looks like a circle containing an arrow that’s pointing down.
To download media from a page on your mobile device, tap ••• at the top right of the image, file, or media block, then select View original. Long press on the media to add it to your camera roll.
View original or full-screen¶
You can view images in Notion in a couple other ways — in its original format inside your browser, and in full screen mode. Here's how:

Hover over any image, file, or media and click
Original. This will open the image in its original size inside a new tab on your browser. -
For full screen, hover on the image and click
•••. ChooseFull screenfrom the dropdown. (You can also select the image and pressspace).
Replace¶
To replace a media block with another piece of media:

Hover over the block and click
•••. -
Choose
Replace. -
In the window that opens, upload another file from your computer or embed an image from elsewhere.
Comment¶
To comment on a media block:

Hover over any image, file, or media and click the word bubble icon.

Or, hover over and click
•••. ChooseComment. You can type@followed by someone's name to mention any of your teammates and call their attention to a question, suggestion or idea you have about the image.
Delete¶
To delete a media block:

Hover over any image, file, or media and click
•••at the top right or⋮⋮on the left. You can also right click on the block itself. -
Choose
Delete.
FAQs¶
Why do I not see alignment controls on my image, file or media block?
The alignment controls are hidden if the block is the same width as content on the page, or if the block is already at its maximum width.
Are there size limits for images and files?
While you can upload an unlimited number of images and files into Notion, there are limits on the size of each image and file.
If you’re on the Free Plan, you can upload files of up to 5MB each. If you’re on a paid plan, you can upload files of up to 5GB each. If you upload an image and get an error telling you that the image is too large to be displayed, you can try uploading the image as a file.

Everything in Notion is a block — from a line of type (or paragraph) to an image or embed. These shortcuts let you edit whole blocks once they're selected.

Math equations¶

Notion uses the KaTeX library to render math equations, which supports a large subset of LaTeX functions.
Add a math equation as a block¶

Click the
+that appears to the left when you hover over a new line. Scroll down and chooseBlock equationin the dropdown. Alternatively, type/mathand press enter. -
With the new equation block in place, click inside it to type or paste your equation, or use
cmd/ctrl+enter/return.
Add a math equation inline¶
Just like you can format text in Notion as bold, strikethrough, or code notation, you can also format your text as a math equation, like this quadratic formula:
There are a few different ways to add math equations inline, and all are keyboard friendly.
With text shortcuts:
- Type two dollar signs, followed by your equation. When you close your formula with two more dollar signs, it will turn into an equation.
With the equation input:

To open the equation input, use the keyboard shortcut
ctrl/cmd+shift+E. -
Type your equation into the input, and press
enter.
With the formatting menu:

Highlight an equation in your paragraph.

Click the

Edit an inline equation¶

You can edit an existing equation by clicking on it. This will open the equation input, and any changes you make to the equation will reflect live on your page.

You can also use the arrow keys on your keyboard to navigate to an equation. The equation input will open when your cursor passes over the equation, and the equation input will close if you continue pressing the arrow key in the same direction.

I don't know LaTeX but want to use Notion's equations. How can I get started?
It's easy to get started using LaTeX for homework, class notes, or lab reports. Basic arithmetic and variable names are valid in LaTeX already.

Why can't I render a specific equation? What formulas/libraries do you support? Can you add support for a formula or library I want to use?
Notion uses the KaTeX library to render equations. KaTeX supports a large subset of LaTeX, documented on their list of Supported Functions and alphabetized in this Support Table. To request support for new functions or environments, you can open an issue on the KaTeX GitHub project.
I'm trying to use the align environment and it's not working!
From the Common Issues page of the KaTeX documentation:
"KaTeX does not support the align environment because LaTeX doesn't support align in math mode. The aligned environment offers the same functionality but in math mode, so use that instead."
Can I use inline equations for superscript and subscript?
It's possible to use inline equations for superscript and subscript, but it does mean that the text will be an equation, in "equation font."

Present any Notion page as a slide deck with Presentation Mode. Presentation Mode is available on Plus, Business, and Enterprise plans.
How it works¶
Presentation Mode uses divider blocks to split your page into slides. Each section of content between dividers becomes one slide. The page title and icon automatically become your title slide.
You don't need to set anything up in advance, just add dividers to any existing page and present.
How to build your slides¶

Synced blocks¶

With synced blocks, you can use the same block and its contents in multiple places throughout a page or a workspace. For example, you could use your team’s mission statement in an onboarding document and a meeting notes document for your next team sync. If your mission statement changes in the future, you’ll only need to edit it in one place for the changes to reflect everywhere that the mission statement is synced!
Sync blocks¶
To sync blocks across pages, multiple locations in the same page, or workspaces:
-
Select the blocks by dragging across them with your cursor.
-
Click
⋮⋮next to your selected blocks. SelectTurn into→Synced block. -
Select the copy icon, then paste the blocks wherever you’d like.
Note: If a user doesn't have access to the page containing the original block, they won’t be able to see a synced block's contents and can request access to that page. Make sure to give the right users permission in advance to see the original block.
Edit synced blocks¶
If you make a change in one instance of a synced block, that change will also appear in all other places where that synced block exists.
When you’re editing a synced block, you’ll see a border around the block to let you know it’s a block that is synced across multiple pages or workspaces.
You’ll also see the following at the top of a synced block:

Editing in ↙ # other pages, which lets you see where else that synced block exists, and navigate to those pages. -
You’ll see
ORIGINALnext to the name of the page where the synced block was created. -
A copy icon, which you can click to copy the synced block and paste it somewhere else.
Unsyncing blocks¶
Unsyncing a synced block breaks the connection between it and its other copies. After you unsync, each block becomes independent, so edits you make won’t affect the others. Any page links inside the block will still work after unsyncing.
To unsync a single copy from a synced block:

Hover over the copy.

Select
•••→Unsync.
To unsync all blocks at once:

Hover over the original synced block.
-
Select
•••→Unsync all.
Note: If a synced block has more than 10 copies, clicking Unsync all, or deleting the original synced block, will remove all copies.
FAQs¶
I added a synced block to another page, but no one else can edit it.
Whomever you share the page with needs to have edit access to the original block to be able to edit any synced copies.
I deleted the original synced block and then clicked Undo. Why didn't all the synced copies come back?
If a synced block has more than 10 copies, deleting the original will also remove all copies. Undo won't restore them in this case. To prevent losing multiple copies, unsync individual blocks one at a time instead of deleting the original or using Unsync all.

Move & duplicate content¶

When you move content from one place to another, your content will be duplicated into the destination workspace or account, and the original content will continue to live where it used to.
-
In the process of duplicating pages from one place to another, some content or settings in the duplicated page may be broken. This could include links, relations, permissions, page history, and more. We recommend keeping your original content until you're absolutely sure the duplicated content is set up correctly.
Duplicate content to another workspace¶
If you have multiple workspaces associated with your Notion account and you want to duplicate content from one workspace to another:
-
Select
+ New pagein the sidebar of the workspace associated with the content you want to duplicate — this page will contain all of the content you want to duplicate to make it easier for you to do so in bulk. -
From your sidebar, drag all the pages you want to duplicate into that new page.
-
Open the new page, then select
•••→Move to. -
Open the dropdown next to your current workspace’s name, then select the destination workspace.
-
Find a place in your destination workspace for your duplicated pages to live.

Select

Duplication error message troubleshooting¶
If you’re seeing “Duplication failed” or a similar error message when attempting to move content from one workspace to another, review and try the list of common solutions below.
You reached the duplication rate limit¶
Notion has a max duplication rate limit of 50,000 blocks per hour. Large sets of pages, databases, and nested content can quickly exceed this limit.
If too much content is duplicated within a short period, you may see a more specific error, such as “Rate limit reached, please try again later”.
To resolve this:
-
Split large content into small batches and duplicate each batch gradually over time.
-
Wait 1 hour before retrying the duplication.
The destination workspace can’t accept additional blocks¶
The workspace you’re moving content to may have plan or workspace-level limitations that prevent new blocks from being created. This is most common with free plans and workspaces that have exceeded their block or usage limits.
To resolve this:
-
Check if the destination workspace has usage restrictions.
-
Reduce the amount of content being duplicated.
-
Upgrade the destination workspace if needed.
The content being moved includes a locked or protected template¶
Some Marketplace templates and protected content include blocks with restricted access. This content will duplicate successfully within the same workspace, but fail when an attempt is made to duplicate it to different workspaces.
To resolve this:
-
Check if the source content originated from a locked Marketplace template.
-
Use an unlocked version of the template if available.
-
If needed, recreate the content structure manually within the destination workspace.
Permissions or account access issues¶
The duplicating account must have the right permissions in both the source and destination workspaces. Duplication can fail if:
-
You’re logged into a different Notion account.
-
You don’t have permission to create content in the destination workspace.
-
Some nested pages or databases in the content you’re moving have restricted access.
To resolve this:
-
Confirm you’re logged into the same account, and that this account has access to both workspaces.
-
Ensure you access to all nested pages and databases included in the move.
-
Ensure you have permissions to create pages in the destination workspace.
None of the above¶
If none of the above resolves the issue, or if you’re not sure what’s causing it, try the solutions below.
Test with a small page¶
Try duplicating only a small page to the destination workspace. If the small page succeeds, the issue is most likely related to:
-
Content size
-
Duplication rate limits
-
Large databases or nested pages
If the small page fails, check for account permissions issues or workspace limitations.
Split large content into smaller batches¶
For large migrations, try splitting content into small batches to move gradually over time. Keep each batch below the approximate 50,000 blocks per hour limit. When duplicating each batch:
-
Move smaller sections separately.
-
Avoid duplicating very large databases all at once.
-
Space out large duplication batches over time.
Retry duplication after waiting 1 hour¶
If a duplication effort fails, wait 1 hour before trying again. This resets the 50,000 blocks per hour limit.
Duplicate content to another account¶
Tip: If you want your Notion account to be associated with a new email address, simply change your email following the instructions here →
To duplicate content from one Notion account to another:

Log into the account associated with the content you want to duplicate.

Select

FAQs¶
I tried changing my email address but got an error message saying: "A user with this email already exists.
If you'd like to change your account email to one that already exists within Notion, you can log into the account that holds the email you want and delete that account to free up that email address.
To delete the account, go to Settings in the left sidebar, then My Account, then Delete My Account.
Then log into your current account, and go to Settings, then My Account, and select Change email. You should be able to switch to the freed up email address.
I can't seem to invite another account to my page.
You may have enabled the Disable guests feature. You can find it in the Security & identity section of Settings in your sidebar.
I can't find any workspaces in the Move to menu.
You may have enabled the Disable moving pages to other workspaces setting. You can find it in the Security & identity section of Settings in your sidebar.

Use pages offline¶

Who can use pages offline?¶
All workspace members on all plans can use pages offline. To do so, you’ll need to be using Notion’s desktop or mobile apps. This feature isn’t available on web browsers.
If you’re on a paid plan, Notion automatically downloads your recently visited and favorited pages for offline use as well.
Download pages for offline use¶
Note: Currently, pages can be downloaded individually for offline use and, if you’re on a paid plan, your recently visited and favorited pages will automatically download for offline use as well.

To use Notion pages offline in Notion, you’ll need to download individual pages for offline use. To do this:

Open the page you want to make available offline.
-
Select
•••at the top of the page. -
Toggle on
Available offline.
A progress bar will indicate that the page is downloading to your device, and when the progress bar is complete, your page will be ready to use offline!
If you're on the Plus, Business, or Enterprise Plan, Notion automatically makes your recently visited and favorited pages available offline as well. To check which specific pages have been automatically downloaded, go to Settings → Offline.
Note: Subpages of any downloaded pages won’t automatically download for offline use. Make sure to download any important subpages individually!
Downloading databases for offline use¶
When you download a database or a page containing a database, the first 50 rows of the first view of the database will also be downloaded for offline use. We’re continuing to make databases work even better offline.
For the best offline experience with databases:

Make sure the first view of your database is the one you use most often, or the one you want to use offline.
-
Download any additional important rows after the first 50.
What you can do while offline¶
While offline, you can:

Create new pages.
-
View and edit downloaded pages and use all of the essential block types, with the exception of some advanced blocks that require an internet connection to work properly, such as:

Embeds from other apps

AI blocks

Forms
-
Buttons
To check which block types are available to you while you’re offline, open the slash menu in your page. Certain block options will appear as unavailable until you’re back online.
You won’t be able to share a page or edit permissions for a page while offline.
Keeping your page up to date¶

Regardless of how a page was made available offline (downloaded by you or downloaded by Notion), it will be automatically updated in the background. For example, if you marked a page as available offline on your phone, then update that page on desktop, your phone will automatically download the latest version for the next time you go offline.

For the best experience with creating or editing pages while offline, we recommend that you connect to WiFi whenever you can to sync your changes.
-
While Notion attempts to automatically resolve conflicts (edits made by several people at once) for text-based edits, note that there are still risks associated with conflicts related to non-text edits. For example, if two people update a select property in a database while they’re offline, only one update can ultimately be saved.
Manage downloaded pages¶
Manage all the pages you’ve made available offline by going to Settings → Offline. From here, you can:
-
Quickly navigate to any of your downloaded pages.
-
Search for pages that have been marked available offline.
-
Stop making certain pages available offline.
-
If you’re on a paid plan, you can view which pages have been downloaded for offline use by you or automatically by Notion, and turn off automatic offline download of your recently visited and favorited pages by toggling off
Automatic downloads.
Turn automatic downloading off¶
If you don't want your recently visited and favorited pages to automatically download for offline use:

Go to
Settings→Offline. -

Are my downloaded pages synced across devices?
Pages you download individually for offline use will only be available at the device level. For example, if you download pages for offline use on your mobile phone, they won’t be automatically available on your laptop.
I don’t want to have to download my pages manually. Is there any other way?

Wikis¶
Create a wiki¶
Note: At this time, only pages can be turned into wikis. You can’t turn a database into a wiki.
To turn a page into a wiki:

Select

Wikis come with three default views:

Home: This view shows you all of the pages within the wiki. You can add any blocks to customize the page to your liking — for example, you could have a callout that explains what kind of pages the wiki contains, or which team owns the wiki. You could also organize your pages by creating headings, then dragging and dropping specific pages under those headings. -
All pages: This is a database view of all the pages within the wiki. -
Pages I own: This is a database view showing only the pages that you own.
You can create additional views with other layouts like a calendar, timeline, or list.
Undo a wiki¶
If you no longer want a page to be a wiki:

Select
•••at the top of the page. -
Select
Undo wiki.
Verified pages and owners¶
You can verify content in your workspace to show that its contents are up to date. You can choose to keep a page verified for a certain period of time or indefinitely.
Verified pages will have a blue check mark next to their name when they’re @-mentioned, and when they’re displayed in Notion search results. When a page’s verification expires, its owner will be notified in their Notion inbox as well as via email.
Verify pages in wikis¶
Note: By default, whoever creates a page in a wiki becomes the page’s owner, but you can change the page owner at any time.
To verify a page in a wiki:
-
Open a wiki page you own.
-
Click on the
Verificationsection at the top. -
Choose whether you want to verify the page until a specific time or indefinitely.
To verify a page from a database view in a wiki:
-
Select the verification property value for a page you own.
-
Choose whether you want to verify the page until a specific time or indefinitely.
Once verification expires, page owners will be notified to re-verify the page.
Verify individual pages in your workspace¶
Note: This feature is only available on the Business and Enterprise Plans.
You can verify pages that don’t belong to a wiki. To do this:

There are three tools to familiarize yourself with in order to create any page you want.

Turn into: Transforms the block into another type of block (like a bullet into a checkbox, or plain text into a heading), or into a page. -

Copy link to block: Copies the anchor link to this particular block. -

Types of content¶
There are many different types of content blocks you can add to Notion, from bullet points to images to embeds to math equations. Here's a full list of content types, split into the same categories you'll find in our block menu (which can be opened with / or +).
Basic blocks¶

Text: Just your regular old plain text! -
Page: Adds a sub-page inside your page. You can put pages inside pages inside pages. -
To-do list: Checkboxes for tasks and such. Shortcut[]. -
Heading 1: The largest heading, can be easily added with shortcut/h1. -
Heading 2: The medium-sized heading, can be easily added with shortcut/h2. -
Heading 3: The smallest heading, can be easily added with shortcut/h3. -
Table:Creates a simple set of columns and rows. -
Bulleted list: Bullets. Shortcut-+space. -
Numbered list: Indents your list and automatically generates the next number. -
Toggle list: Creates a toggle that can contain other content, and can be opened or closed. You can create a toggle using the shortcut>+space. At this time, you’ll need to open and close toggles manually — there’s no way to open and close them all at once, or make them open or closed by default. -
Quote: Creates larger text to break quotes out from the rest of your document. -
Divider: Creates a thin gray line to break up text. Shortcut---. -
Link to page: Creates a block that's a link to another page in your workspace. -
Callout: Creates boxed text for tips, warnings, disclaimers, etc. With emoji!
Database¶
Add a database inline in the body of a Notion page. A great way to create a page that includes both writing and databases. Learn more about databases here →

Table view: Adds a table on your page. -
Board view: Adds a kanban board on your page. -
Gallery view: Adds a gallery on your page. -
List view: Adds a list more minimal than a table to your page. -
Calendar view: Adds a calendar on your page.
Media¶
There are several types of media you can add, view, and play (audio/video) right in Notion.

Image: Upload images or add images on your page. -
Video: Upload your own file or embed from YouTube, Vimeo, etc. -
Audio: Upload your own recording or embed from Spotify, Soundcloud, etc. -
File: Upload any sort of file to a page to store it exactly where you want it. -
Code: Add a block of code in any language, complete with formatting. -
Web bookmark: Add a clickable link preview of a URL to your page.
Embeds¶
You can embed content from 500+ apps directly into Notion. We created shortcuts for a few of the most popular apps, but /embed works for nearly any other. Here are our named embeds:

Google Drive: Pull together Google Docs, Sheets, Slides, etc. right in your Notion page. -
Tweet: Adds interactive/clickable tweets into your page (/tweet+enterfor example). -
GitHub Gist: Embeds code, notes and snippets from Github. -
Google Maps: Embeds an interactive Google Map in your page. -
Framer: Embed a prototype from Framer into your page. -
Invision: Embed a project from Invision. -
PDF: You can either paste a link to a PDF or upload one to display it in full on your page. -
Figma: Embed a Figma file so it appears in your page. -
Loom: Embed a playable Loom recording in your page. -
Typeform: Embed a survey that people can complete entirely in Notion. -
CodePen: Embed code snippets from CodePen on your page. -
Whimsical: Embed mind maps, flowcharts, wireframes, and sticky notes from Whimsical.
Type / followed by the name of any embed to add it. All of these will prompt you to input the URL for the embed you want.
Advanced blocks¶

Inline equation: Displays beautifully formatted mathematical characters and expressions. -
Button: Lets you automate specific actions with one click. Learn more here → -
Breadcrumb: Inserts an automatically generated breadcrumb menu that shows where the page you add it to lives in your workspace. -
Table of contents: Adds a list of links to all the headings on your page.
Inline options¶
The content menu includes a few options that aren't technically blocks. Instead, they're / commands that will add several other types of content to your page. For dates or mentions, you can also @.

Mention a person: Gets the attention of someone else in your workspace. -
Mention a page: Creates an inline link to another page in your workspace. -
Date or reminder: Creates a dynamic timestamp or reminder that will trigger a notification. -
Emoji: Brings up the emoji picker. You can also select+in the emoji picker to upload a custom emoji.
Spell check¶
When you use Notion for web, your spelling will be checked by your browser’s spell check, and you’ll have to enable or disable spell check in your browser settings.
Notion for desktop has a built-in spell check that’s on by default. To turn this off:

Right-click a typo in a page.

In the menu that appears, select
Disable spell check.
To turn spell check on in Notion for desktop:

Right-click a word on any page.

In the menu that appears, select
Enable spell check.
Style your writing¶

Notion is equipped with all the text styling features you've come to expect from any word processor — with a few more added in. Highlight any text to see the editing menu:

Choose from three different typography styles for every page you produce — selected to match most writing moods! Just click
•••at the upper right of your page and pickDefault,Serif, orMono. -
To change text size, go to
•••and switch onSmall text. -
You can shrink the margins on any page and widen your content area by going to
•••at the top right of your Notion window and toggling onFull width.
Arrange and modify content¶
Here are the basics for moving and structuring content around your page.
Select content¶

Click and drag from the left or right page margin to select an entire block of content, or multiple blocks at a time.

Click and drag from within a block to select, cut, copy, and paste paste partial text across paragraphs, bullet lists, callouts and more — without having to select each block in its entirety.

If you're in editing mode within a block, press
Escto select the entire block.
Partial text selection across blocks will be supported on all platforms except Firefox. We’re actively working with the Mozilla team to enable this feature in Firefox as soon as possible.
Drag-and-drop¶
Any content block in Notion (including lines of text) can be dragged and dropped around the page. This includes rows in tables and cards in boards and galleries!

Hover over any block and use the
⋮⋮icon that appears as a handle to drag it around. -
Blue guides will appear to show you where it will go. (A good way to nest bullets and to-do's.)

Release your mouse to drop the block, table row, or card wherever you want it to go.

Drag-and-drop also works in your sidebar to reorder pages, nest pages inside pages, and move them between sections.

Collaborative content¶
There are a couple of tools you can use while writing and editing that help with teamwork.

@-mention a person: Type
@followed by one of your teammate's names to draw their attention to something on your page. You can do this inline in text or in a discussion or comment. The person will be notified to look at that part of your page. -
Add a comment: You can add a comment to specific text by highlighting it and hitting the
💬button or using the shortcutcmd/ctrl+shift+m.
On mobile¶
The editing experience is pretty different on mobile than it is on desktop. There are no / commands. And no icons that appear on hover. Instead, all content is created from the editing toolbar located above your keyboard:

Double tap to select text, and drag your selection to include content across multiple blocks.

Tap the
+to see a full menu of other content block types you can add to your page. -
From this toolbar, you can also:

FAQs¶
Can I make Full width my default? Is there a way to set a default style for all pages?
Not yet, but a lot of users have asked for this! We're continuing to keep this in mind for future projects.
Can I justify text to be center aligned or right aligned?
Notion doesn't have any traditional alignment options at the moment, unfortunately 😕But you can still make this happen. Drag and drop an empty line into the column next to your text to align it to the right or left.
Is there a way to disable the menu that appears every time I type /?
There's no way to turn this off by default for now, but you can press esc as soon as it pops up in order to dismiss it.
How can I copy text from multiple blocks?
On desktop, click and drag from the left or right page margin to select an entire block of content, or multiple blocks at a time. Click & drag from within a block to select, cut, copy & paste partial text across paragraphs, bullet lists, callouts & more — without having to select each block in its entirety.
On mobile, double tap to select text, and drag your selection to include content across multiple blocks.
